This statement explains what personal information Ute & Trailer Co. collects through the booking website and how we use and protect it.
Who is collecting your information
Ute & Trailer Co. is the business collecting and holding the booking information described below. We operate in the Bay of Plenty, New Zealand. Privacy enquiries can be sent to uteandtrailerbookings@gmail.com.
What we collect

Why we collect it
We use this information to prepare and review estimates, decide whether we can accept a job, coordinate pickup and delivery, contact customers and pickup contacts, confirm bookings and payments, provide the transport service, resolve problems, maintain business records, and meet legal or accounting obligations.
Do you have to provide it?
You do not have to use the online booking form. However, we need the required customer, route and job information to provide an online estimate and process a booking request. Seller contact information and photos are optional, although they can help us assess and coordinate the job.
Seller information supplied by a customer
If you give us another person’s name or phone number, only provide details that are relevant to the collection and that the person knows may be shared with us. We use seller/pickup contact details only for purposes connected with the requested transport service unless another use is authorised or permitted by law.
Who may access or receive the information
Information may be accessed by Ute & Trailer Co. staff or workers who need it to perform or administer the job, and by service providers that host, store, secure or send information on our behalf. We do not sell personal information.
Cloud and service providers
We use third-party technology providers for website hosting, database/storage and transactional email. Some processing or storage may occur outside New Zealand. Where a provider acts only as our service provider for storage or processing, we remain responsible for the information we place with that provider.
Storage and security
We take reasonable steps to protect booking information from loss, misuse and unauthorised access. Customer-uploaded booking photos are stored privately and are not intended to be publicly accessible. No internet or cloud service can be guaranteed to be completely secure.
How long we keep it
We keep personal information only for as long as reasonably needed for the purposes it was collected for, including booking administration, disputes, accounting/tax records and legal obligations. Information that is no longer required may be deleted or anonymised.
Access and correction
You can ask whether we hold personal information about you and request access to or correction of that information, subject to the Privacy Act 2020. Email uteandtrailerbookings@gmail.com and include enough information for us to identify the relevant booking.
Privacy questions or complaints
Contact us first at uteandtrailerbookings@gmail.com. You may also have the right to make a complaint to the Office of the Privacy Commissioner if a privacy concern cannot be resolved.
